Privacy Policy of Team Qatar Volunteer Platform

Information about Volunteer System:

Through the Volunteer System, the Qatar Olympic Committee/Organizing committees aims to provide a centralized system to anyone who would like to participate in the events, activities, or volunteer programs organized by the Committee.

This policy explains how your personal data is collected, used, protected, and shared when you register and participate as a volunteer with the Qatar Olympic Committee or the Organizing Committee of the Championship (hereinafter referred to as the "Committee").

The privacy policies cover use of the system which is bound by the e-Government Policies of the State of Qatar (per Council of Ministers' Resolution No. (18) of 2010 on the Implementation of e-Government Policies) and Qatar's Data Protection Law (Law No. 13 of 2016) concerning the privacy and protection of personal data.

By using this system, you acknowledge that you have read and accepted our "Terms and Conditions" and "Privacy Policy", which are available in both Arabic and English. In the event of any difference in interpretation between the Arabic and English text and any translation thereof, the Arabic text prevails.

Article (1) - Definitions

For the purposes of this Policy, the following terms shall have the meanings assigned to them, unless the context indicates otherwise:

  • Committee: The Qatar Olympic Committee and/or the Organizing Committee of the Championship.
  • Volunteer: Any natural person participating in the events, activities, or volunteer programs organized by the Committee.
  • Personal Data: Any data relating to an identified or identifiable natural person, either directly or indirectly.
  • Processing: Any operation performed on personal data, whether by automated or manual means, including but not limited to collection, recording, storage, alteration, use, transmission, deletion, or dissemination.
  • Consent: Any explicit expression by the volunteer indicating their voluntary and informed agreement to the processing of their personal data for specific purposes.
Article (2) - Scope of Application

This Policy applies to all personal data collected or processed about committee's employees to proceed their requests or to check their data within the State of Qatar, in accordance with the provisions of Law No. (13) of 2016 on the Protection of Personal Data. It is required that QOC employees maintain confidentiality in accordance with applicable data protection laws.

This Privacy Policy (together with our Terms and Conditions) sets out the basis on which personal data are being collected and processed. This Privacy Policy can be changed over time to comply with law or to meet our changing business requirements.

"Personal Data" means any information relating to an identified or identifiable natural person. By using this system, you acknowledge your full agreement to the QOC's use of all your personal data for the purpose of the work of this system, and that you grant QOC full and unconditional permission to use this information.

Article (3) - Data Collected

The Committee collects and processes the following personal data, including but not limited to:

  • Full name
  • Qatari ID number or passport details
  • Contact information (phone number, email address, residential address)
  • Date of birth and gender
  • Educational qualifications and prior experience certificates
  • Employment status and employer (if applicable)
  • Curriculum Vitae (CV)
  • Personal photograph
  • Emergency contact details
  • Medical information necessary for ensuring safety during events
  • Photos or videos captured during volunteer activities
Article (4) - Purpose of Data Collection

The aforementioned personal data is used for the following purposes:

  • Reviewing and assessing volunteer applications and verifying eligibility
  • Coordinating and managing volunteer tasks and assignments
  • Ensuring personal safety of volunteers during events
  • Issuing participation certificates and letters of appreciation
  • Communicating instructions and activities with volunteers
  • Complying with applicable legal and regulatory requirements
  • Documenting activities and using media for promotional purposes
  • Any other purposes deemed necessary by the Committee in connection with the use of personal data
Article (5) - Data Sharing

The Committee may share personal data, where necessary, with the following entities:

  • Authorized Committee staff
  • Affiliates or partner entities or official authorities
  • Licensed medical providers in case of emergencies
  • Authorized service providers (e.g., for printing Event accreditation badge or entry coordination)
  • Competent governmental authorities upon official request

Personal data shall not, under any circumstances, be sold or rented to any third party.

This system may contain links to enable you to visit third-party websites, mobile sites and mobile applications which are governed by their own privacy policies. Please note that we do not have any control over these and are not responsible or liable for the protection and privacy of any information that you provide whilst visiting those sites.

Article (6) - Data Security and Retention
  • The Committee shall implement technical and organizational measures to ensure the protection of personal data from unauthorized access, unlawful processing, loss, or damage.
  • Personal data shall be retained only for as long as necessary to fulfill the purposes for which it was collected or as required by applicable law.
  • When erasing Personal Data, QOC will take reasonable and technically possible measures to make the Personal Data irrecoverable or irreproducible in accordance with the applicable laws.
Article (7) - Volunteer Rights

The volunteer shall have the following rights:

  • Accessing their personal data
  • Requesting the correction of any inaccurate or incomplete data
  • Requesting the deletion or restriction of data where retention is no longer justified
  • Withdrawing consent at any time, without affecting the lawfulness of any prior processing
Article (8) - Photos and Video Recordings

Capturing photos or videos during events is considered part of the documentation process. Such material shall not be used for media or promotional purposes without obtaining the volunteer's prior consent.

Article (9) - Policy Updates

The Committee reserves the right to amend this Policy whenever necessary. Any updates shall be published on the official website and shall take effect as of the date of publication, unless otherwise stated.
